Company and authority

Identify the legal buying entity, registration jurisdiction, corporate website, business contact and role in the transaction. If acting for another buyer, explain the appointment and how the principal’s authority can be confirmed.

Product and delivery requirements

State product, standard and edition, quantity and unit, shipment frequency, intended use, destination or loading location and requested delivery period. Include origin restrictions and receiving-terminal requirements where relevant.

Commercial readiness

Explain the preferred delivery structure and proposed payment basis without disclosing account credentials. Confirm the receiving facility and the internal signatory who can review terms. A purchasing intention is different from evidence of authority or financial capability.

ICPO and document consistency

An irrevocable corporate purchase order should match the requirement and identify the issuing entity. Avoid circulating multiple contradictory versions. The seller’s requested form should be reviewed before signing.

Protect sensitive information

Share identity documents and financial evidence only after verifying the recipient and establishing a suitable private channel. Follow the anti-fraud guidance and due diligence steps. Prepare your inquiry brief when the preliminary details are ready.
